Ward Secretary / Stock Controller: Wards

This position reports to the Unit Manager.

KEY AREAS OF RESPONSIBILITY

Stock Control

  • Sufficient stock levels are maintained and managed according to the Unit-specific needs.
  • Stock is billed according to set guidelines.
  • Unit stock is ordered and deliveries are checked according to procedure.
  • Picking slip system is utilised for stock replenishment.
  • Aged/defective and excess stock are controlled.

Client Satisfaction

  • Client expectations are met and quality client service principles are maintained.
  • Behaviour exhibits a culture of service.
  • Professional ethics and The Urology Hospital demonstrated in behaviour.
  • Competence is demonstrated in all performance output areas.
  • Participation in Quality and Improvement projects ensures Patient Rights are maintained.

Patient Administration

  • The patient register (Admissions book) is complete and corresponds with admissions statistics.
  • Ward Administration on Trimed maintained.
  • Admission packs are compiled as per set requirements.
  • Doctor’s clipboards are updated, as required.
  • Bed status is updated according to the procedure.
  • The theatre slate is updated and beds are allocated as per procedure.
  • Patient files are finalised, and sent to the Patient Administration department as per procedure.

Unit Reception

  • Patients are received and orientated on admission to the Unit.
  • Patients’ needs are addressed according to set guidelines.
  • Patient’s healthcare-related appointments and treatments are arranged (e.g. x-rays, pathology, ancillary health services, dietician, blood collection).
  • Visitors are controlled.
  • Transfers and transport aid are arranged.
  • Patients are escorted on admission and discharge.

Continuous Professional

  • In-service training opportunities are utilized.

REQUIREMENTS

  • 2 – 3 years of secretarial / stock control experience would be advantageous.
  • Administration qualification would be advantageous.
  • Grade 12 certificate.
  • Private hospital experience would be advantageous.
  • Sound judgement and a pro-active approach to problem-solving and decision-making.
  • Strong computer skills with proficiency in MS Office.
  • Good communication and sound interpersonal relations skills.
  • An ability to work under high pressure.
  • Assertive presence.
  • Willingness to work overtime from time to time.
