Stock Controller (Theatre)

Applications are invited from persons who possess the requisite experience, qualification and suitably meet the corresponding requirements for the following critical vacant role:

STOCK CONTROLLER (THEATRE)

This position reports to the Theatre Store and Billing Supervisor and will be responsible for the following performance areas:

KEY AREAS OF RESPONSIBILITY

Purpose: To ensure that all medical stock (surgical and ethical items) used in Theatre are accounted for and billed. Ensure that there is always enough stock in the Theatre stores.

  1. Billing:
  • Rapid billing: knowledge and ability to use the Rapid billing system.
  • Billing: capture all charge sheets continuously throughout the day as received back from the Theatres.
  • Capture and bill all stock used, Surgical and Ethical; Theatre procedures; Theatre time; equipment used and gasses used.
  • Month-end: complete all patient billing before cut-off on month end.
  1. Stock Control:
  • Check stock movement of what was physically used against stock indicated (returns from Theatre – credit, packing, charging slips).
  • Use daily report movement as a guideline to double check stock movement and billing thereof.
  • Investigate shortages or excess stock against usage.
  • Consignment & Loan Stock: receive all consignment and loan stock slips from Billing Clerks.
  • Investigate discrepancies between “patient intra-operative report”, the charge sheet and the OR patient register and also communicate with the nursing staff to attain the correct information.
  • Investigate excessive use of single stock items and reasons thereof with appropriate nursing staff.
  • Assist Theatre Billing Clerks with stock control and other tasks when needed.
  • Unpack stock from the Pharmacy to the storeroom cabinets and shelves.
  • Assist with returning stock items not used from OR rooms back to their allocated places in the storeroom.
  • Draw up stock movement reports, picking up slips and filling up the surgical supplies as needed.
  1. Financial Control:
  • Assist in preventing stock losses.
  • Ensure correct patient information charge sheet is captured on the system.
  • Prevent over and under billing of stock to patients.
  • Ensure correct billing of stock handed out to the Theatre store and correct documentation and processes are followed when stock is returned and needs to be credited.
  1. Client Satisfaction:
  • Ensure client expectations and basic needs are met.
  • Follow professional ethics, Urology Hospital mission, core values, and caring standards.
  • Participate in Quality improvement projects as demonstrated.

REQUIREMENTS

  • Grade 12/ Matric certificate.
  • Stock Management certificate.
  • 3 years’ experience in a similar position.
  • Tri-Four system knowledge.
  • Knowledge of Microsoft office (basic).
  • Knowledge and experience of surgical stock used in a specialist hospital will be advantageous.
  • Experience working with clients and stakeholders at all levels.
